“Many hands make light work.” Our team cannot exist or run without Parent Volunteers. Swimming is a labor-intensive sport, and our team depends on parental support for its continued success. Your commitment is essential to ensure meets run smoothly and fairly. When all families pitch in and help, no individual or family will be over-burdened. It takes approximately 20+ parents to run a swim meet! Volunteers are necessary to ensure our meets run smoothly. We truly appreciate our Volunteers!
Volunteer Job Guide
Before going into the descriptions, a few rules around volunteering.
1) You must complete the mandatory number of hours to avoid paying the volunteer penalty. The amount of hours will be communicated once the roster is finalized after the tryouts.
2) Unless you are signed up for assisting with food or ice delivery, you must remain at your volunteer post for the entirety of the swim meet. We will have "runners" at the meet to provide you with breaks, water and a chance to see your child swim. Otherwise, you are to remain in your position for the entirety of the meet.
3) In order to receive credit for your volunteer shift, you must check in with the volunteer coordinator no less than 30 minutes before the start of a meet and stay through the entire meet. If you fail to check in at the appropriate time, your position will be given to someone else and you will need to wait to see if another position is available.
4) If you are late to the position, you will receive a 50% point reduction.
Volunteer Job Descriptions for Swim Meets
Please note that the first four positions require certification. You cannot sign up for one of these positions without being certified. All other positions are open to everyone.
1) Starter: The starter will announce and start each race, determine false starts, keep the meet running smoothly. This position is only required at home meets. You must complete mandatory ODSL training and must have been a Stroke and Turn Official for one year.
2) Referee: Sees that the swimming rules are enforced during the meet and ensures all swimmers have uniform and fair competitive conditions. Stroke and Turn officials report the to referee. The referee serves as the final authority for the conduct of competition. You must complete mandatory ODSL training and must have been a Stroke and Turn Official for one year.
3) Stroke and Turn: Responsible for observing swimmers' strokes and turns and when necessary, disqualify in a fair and consistent manner those swimmers who fail to comply with the standards of each stroke performed. You must complete the ODSL training for Stroke and Turn. **Any new Stroke and Turn officials must shadow an existing S&T official before being allowed to officiate on their own.**
4) Head Clerk of Course: This person will manage the Clerk of Course area and Team Area. This person will meet with Clerks of Course 30 minutes before the start of the meet. Help Team Area Parents get started in taking roll of the swimmers and coordinate Clerks of Course area so they know how to line up the swimmers. Also, help in coordinating these positions to set up swimmers for relays towards end of the meet.
5) Clerks of Course: Clerk of Course will check in swimmers as they arrive at the meet, make sure they stay in their assigned bullpen area until their events, make sure they have their events written on their hands, walk them to the ready area before their event and ensure they are lined up in their designated swim lane. Volunteer must arrive at the same time as the swimmers!! Don't choose this job if you can't arrive early please.
6) Concessions Pickup: Pickup perishable items needed for meets which can include, Patel Brother's snack items, Donuts, Ice and other snacks. All items must be delivered no later than 30 minutes prior to a meet or practice. This volunteer assignment does not require you to stay for the meet or practice.
7) Concessions Sellers & Snow Cone Machine Operators: Work the concession stand to sell food and beverages. Must be comfortable with fast paced sales and processing cash/venmo transactions.
8) Floater/Back-up : Support all jobs as needed throughout the meet to provide relief to another volunteer for water/restroom breaks etc. If there are no open positions to fill, first priority will be to help the clerks of course.
9) Meet Setup/Tear Down: Assist with setting up the pool deck for a meet which would require moving heavy chairs/umbrellas to new locations, setting up backstroke flag, lining up lane chairs and concessions booth. "Tear down" would be returning all of these items back to where they started to prep the pool for community use and ensure all trash is picked up and properly disposed of.
10) Relay Assistant: Help Clerks of Course with organizing swimmers and lead them to the appropriate side of the pool. Must help keep the swimmers in order for their relay.
11) Heat Ribbon Runner: Monitor each race and identify the winner for each heat. Give that winner a heat-winner ribbon. In the event of a tie, give both swimmers a ribbon. Ribbons are given immediately at the end of the race.
12) Disqualification (DQ) Slip Runner : Check with all Stroke and Turn judges to see if they have DQ slips and provide them to the Referee for review.
13) Tent Taxi: Pick up and return all swim team tents from the Lenah Mill pool for away meets, Divisionals and All-Stars. Tents should be picked up the day prior to an away meet and can be returned the following practice. Need to have a car large enough to fit two team tents.
14) Head Timer: Work closely with the Starter and Referee to make sure timers restart their clock after each heat at home meets. Oversee lane timers and always start a back up timer in the event a stopwatch malfunctions during a race or their is a timer error. Should have prior timing experience.
15) Timers: Time swimmers in assigned lane using provided timing device. Must attend timer meeting prior to start of meet.
16) Computer Operator: Verify accuracy of event participants and times swam. Upon completion of the meet each team shall receive a copy of the final meet results.
Volunteer Signups will be available in June 2025
To sign up for a volunteer position, go to the Signup Calendar tab on the team website. Then select the date of the Swim Meet(s) you want to work. Next, select the volunteer job(s) for that specific Swim Meet. Will open weekly a few days prior to each event.
